ETHICAL CHARTER - RULES AND POLICIES

INTRODUCTION

KOHCOON is a new Real Estate investment company leveraging big data and local market data analytics to hedge long term leasing against short term lease. That spread allows KOHCOON to generate gross profit to better the experience of short term renters while benefiting the local economy with less vacancy.

All stakeholder in KOHCOON, its Shareholders, partners, Managers, Employees, interns and sub-contractors are all bind by the following etiquette and rules.

General Rule: Always do the right thing even when no one is watching.

GOALS AND OBJECTIVES

KOHCOON is dedicated to the goal of becoming more effective and successful in lodging tenants for short term in pristine accommodations.

KOHCOON recognizes this can only be accomplished if it is successful in developing, and retaining Employees, sub-contractors who have the knowledge, ability and desire to grow with our company.

It is with this in mind that our Policies and Procedures Manual has been written. We have set forth the fundamental guidelines by which all our staff should operate. Regardless of your position within this company, we must function as a team and have a common objective of continued success from our efforts.

We ask that you never represent a client or work with a customer unless you have the training and experience to do the job. We believe in continuing education, the more you know and the more you understand the better service you can be to our clients and customers.

Cooperation

We insist that our team members work together for a common purpose remembering the Golden Rule in all situations: The more we help each other the more we help ourselves.

Accountability

If we wish repeat business, our clients and customers must be happy with their transaction and stay. If you make a mistake, you must be accountable and make it right with our client or customer.

HOURS OF OPERATION

Our office hours are Monday through Friday from 9:00am - 6:00pm EST. KOHCOON observes the following holidays:

  • Christmas Day

KEYS AND PROTECTION

When we handle the key of a property, we have a duty towards the owner, that trust must never be violated. It is always a good idea to request permission to make extra copies of keys. Never have the home’s address on the key tag. In the event the key is lost the property will remain secure.

Under no circumstances should keys be given to anyone without the consent of KOHCOON management.

After entering the property, it is the key holder responsibility to check that all windows and doors are locked, lights are out, and no animals came in or were accidentally let out.

Immediately upon discovering a key is missing and cannot be located, notify the Office Manager. The financial responsibility for lost keys will fall on Key Holder if the loss was created through negligence.

SEXUAL HARASSMENT

Sexual harassment is any verbal or physical conduct of a harassing nature, requests for sexual acts or favors, unwelcome sexual advances, or any other conduct with the purpose or effect of which unreasonably interferes with an individual's work performance or creates a hostile, intimidating or offensive work environment. Sexual harassment is illegal.

Racial, religious, and ethnic harassment is also illegal. For this reason, you must make sure that you do not engage in such harassment or in any behavior toward your fellow workers that could be viewed as harassment. Because harassment is a serious offense, KOHCOON will deal with these issues in the strictest of terms which may include termination if you are found to have engaged in such conduct.

KOHCOON policy states that the following people may not harass you: co-workers; supervisors; other employees; any other associate or assistant or intern; any guest or visitor to the firm.

If you believe that you have been harassed, please bring the problem to the attention of the Office Manager and (provide the names of any other individuals). You do not have to put your complaint in writing, but it is helpful to provide details about dates, times, places, and witnesses to the harassment.

All complaints will be investigated promptly.

The identity of the employee making the complaint as well as the identity of the individual accused of sexual, ethnic, racial or religious harassment will be kept strictly confidential. Information regarding the charge of sexual harassment and then investigation of that charge will not be made known to anyone who is not directly involved either as a party, a witness, or a member of the investigatory team. Witnesses interviewed will be provided only such information as is necessary to elicit from them their observations and other relevant information.

No one may retaliate against you if you file a charge of harassment against them. Home61 Miami Inc. will make every effort to prevent possible retaliation against you under such circumstances.

If your complaint of harassment is found to be totally and completely without basis, appropriate measures may be taken against you. This should not discourage you from making a complaint if you believe you have been a victim of sexual, racial, religious, or ethnic harassment.

COMPLAINTS

Complaints within our office that cannot peacefully be resolved must be brought to the Office Manager’s attention immediately. This includes sexual harassment, or any form of harassment, offensive language or comments. All complaints will be handled with the utmost of confidentiality. Our office must function smoothly and in harmony with each other to insure our success. Do not let problems fester. Communication is the best way to begin the resolution of differences.

KOHCOON EMPLOYEES

At KOHCOON we thrive in customer experience and personal relationships. This can only be achieved when the work environment is set up for employees to feel at ease with a purpose in what they are doing and getting the respect they deserve. The following are basic rules of ethics that each employee at KOHCOON are bind to apply on a daily basis.

  • Right to work: Every employee must be eligible to work in the US with a proper government identification and a Social Security number. Furthermore each employee should not be under any non-disclosure agreement forbidding them to work for Kohcoon.
  • General conduct: Respect, Politeness and discretion. Always comply with Laws and Regulations. Full transparency.
  • Dress code: Business Casual. No shorts, no slacks.
  • Punctuality: Always be on time. It is recommended to arrive to a meeting with a 10 minute advance to make sure you can find parking and place where you have a meeting. Always notify the person you will meet if you are being delayed.
  • Training: Each employee will go through a training in relation with its position. Keeping a level of excellence is of the outmost importance. Regular training will be available.

  • Sexual Harassment: Any mis-conduct is prohibited and KOHCOON has a zero tolerance Policy. Every employee must behave in a social manner in respect to others privacy.

KOHCOON SUB-CONTRACTORS

Before preforming any work, you will provide Kohcoon with the following documents:

  • A sub-contracting agreement
  • W9
  • Government issue identification
  • License (if applicable)
  • Professional Liability insurance | Workers comp (if applicable)

To become a KOHCOON sub-contractor, each will have to bind by the following rules.

  • Right to work: Every subcontractor must be eligible to work in the US with a proper government identification, a Social Security number and provide a W9 before doing any work for KOHCOON. Furthermore each Sub contractor should not be under any non-disclosure agreement forbidding them to perform work for Kohcoon.
  • Insurance: Every contractor will be holding a Professional Liability insurance and is current on Premium payments. A copy of this Policy will be given to KOHCOON. You will need to have the insurance ready and valid when entering condominiums.
  • License: If the sub-contractor needs a specific license to perform work, this license will need to be valid, current and a copy will be given to KOHCOON. You will need to have the License ready and valid when entering condominiums.
  • General conduct: Respect, Politeness and discretion. Always comply with Laws and Regulations. Full transparency.
  • Dress code: Professional attire is required when performing work for KOHCOON..
  • Punctuality: Always be on time. It is recommended to arrive to a meeting with a 10 minute advance to make sure you can find parking and place where you have a meeting. Always notify the person you will meet if you are being delayed.
  • Privacy: Always respect Tenant’s Privacy if performing work in a tenanted property. Don’t be looking around into the property, just focus on the work at hand to be performed professionally and in a timely manner.
  • Security: Always be aware of your actions and surroundings. Don’t take any risk that may have an impact on your security as well as the tenants or KOHCOON employees.
  • Quietude: Be mindful of people quietude.
  • Cleanness: Always clean after any work performed. You should leave the property as you found it before performing the work.
  • Efficiency: Be efficient when performing work, meaning perform it well (above industry standards) and quietly without disturbing either the tenant or other people around. Always bind by any local rules like Home owner associations.

  • Sexual Harassment: Any mis-conduct is prohibited and KOHCOON has a zero tolerance Policy. Every sub-contractors must behave in a social manner in respect to others privacy.
  • Control: At any time KOHCOON my conduct on site checks of work perform either after or during work.

HOUSEKEEPING RULES

Housekeeping is a particularly important part of KOHCOON value proposition to its client, where KOHCOON is creating an experience where tenant feels like homeowners: A home away from home.

KOHCOON will be performing on-site inspections by using the check-list to control the quality of work and time efficiency spent for the work performed.

General Cleaning Check-list:
  • Dust and hand wipe all furniture inside and outside
  • Dust baseboards, switches and door panels
  • Dust ceiling fans (within reach)
  • Vacuum carpets
  • Vacuum and damp mop floors even under furniture
  • Dust blinds, window sills
  • Dust pictures frames
  • Dust bulb light and lamp shades
  • Dust and clean mirrors
  • If needed clean the air conditioning filter
  • Empty, clean and put a new garbage bag in all trash can
  • Replace bulbs lights and batteries if necessary
  • Report all personal belonging forgotten by guests in the unit
  • Clean the iron, empty the water if necessary,
  • Check the ironing board
Spring Cleaning Tasks: On top of General Cleaning
  • Wash all curtains
  • Use a steam cleaner on carpets
  • Wash the sofas covers
  • Vacuum upholstered furniture
  • Return all the mattresses
  • Replace the hood filter
  • Deep clean the fridge and freezer
  • Damp wipe kitchen and bathroom cabinets
  • Thoroughly clean all furniture interiors
Living-Room:
  • Dust the TV stand.
  • Clean gently the TV screen
  • Clean the sofa and ottomans and remove dust between the cushions
  • Clean all chairs and tables
  • Clean and disinfect all phones and remote controls
  • Dust any photographs or artwork.
Kitchen:
  • Check if all cookware in the kitchen cabinet are clean
  • Check if cutlery, plates and glasses in the kitchen cabinet are clean
  • Do the dishes, dry it and store it
  • Dust blinds, window sills
  • Clean and disinfect door panels, and baseboards
  • Clean inside/outside of all kitchen cabinets.
  • Clean and disinfect door knobs and switches
  • Clean and disinfect kitchen table, chairs
  • If needed clean extractor hood.
  • Clean and disinfect sinks and counter tops
  • Clean and disinfect cooker, oven and microwave inside and out
  • Clean, disinfect inside/outside of dishwasher
  • Clean, disinfect inside/outside of refrigerator
  • Clean all kitchen appliances (toaster, coffee maker, blinder…)
  • Vacuum and damp mop floors
  • Empty, Clean and disinfect trash bin
  • Refill dish soap, kitchen paper, garbage bags
  • Put clean dishtowels,
  • If needed replace sponges,
Bedrooms:
  • Clean inside and outside of furniture
  • Clean drawers, cabinet and shelves
  • Clean door panels and switches
  • Clean bedhead
  • Open and vacuum any extra convertible sofa
  • Dust blinds, window sills,
  • Vacuum carpets
  • Vacuum and damp mop floors (if non-carpet)
  • Change sheets and pillowcases
  • If needed change mattress pad
  • If needed wash blankets, comforters, pillows and cushions
Bathrooms:
  • Dust cabinets, door panels, and baseboards
  • Clean and disinfect all surfaces
  • Clean and disinfect all cabinet fronts
  • Clean and disinfect tile walls
  • Clean, disinfect, and shine showers, shower screens and tubs
  • Clean and disinfect door knobs and switch plates
  • Clean and disinfect toilet bowl, toilet brush, toilet brush holder
  • Shine fixtures
  • Vacuum and damp mop floors
  • Empty the trash can
  • Refill the body wash. Shampoo
  • Refill toilet paper
  • Check if Hair Dryer is working and Clean it
  • Provide 2 bath towels and 2 hand towels per person
